Notice of liability

By using KY's premises, the user responsible for the reservation agrees to be bound by the rules, regulations and guidelines described on this page.

Operating against or failing to comply with these rules, regulations and guidelines will result in sanctions at the discretion of the KY Executive Director, ranging from monetary penalties (50–300€, excl. potential damages) to the ban from using KY's premises.

Failure to read through the rules, regulations and guidelines does not exempt the user of possible sanctions.

1. Premises' specifications

General:

  • The Saha premises consist of an outdoor terrace with a roof, a lobby area with a direct access to two separate bathrooms and an accessible toilet, the main party space with a fixed stage, a backstage area with its own toilet and a kitchen.
  • Total floor area indoors ~400m2 and ~90m2 on the outside terrace
  • 160 people allowed simultaneously at the premises
  • All spaces are fully accessible except for the stage

Furniture and tableware:

  • 140 sets of tableware
  • 120 wooden chairs
  • 62 black plastic folding chairs
  • 28 folding tables measuring 140x70cm
  • Two sets of ladders for e.g. decorating

Kitchen:

  • Two industrial refrigerators
  • Industrial stove
  • Industrial dishwasher
  • Industrial coffee maker
  • Industrial microwave oven
  • Instructions for the dish washer, oven and coffee maker are in the kitchen
  • The microwave oven is a lot more powerful than a regular one (1600 W vs 800 W)

Toilets:

  • Lobby: Two gendered toilets and one accessible toilet
  • Terrace: Six toilets in heated indoor area separate from the main building
  • Backstage: One toilet

Showtech:

  • A fixed stage
  • PA system with a mixer and microphones
  • DMX-controlled party lights
  • Two projectors, one pointing at the stage and the other towards a wall on the right of the stage

2. User's responsibilities

Before the event day

  • Fill out the extended time form if you wish to extend your reservation to end later than 01:00
  • Electronically managed doors
    • Request the electronically locked doors to be scheduled unlocked at any point of your reservation during the service hours from the service advisors at the KY Office
    • Electronically managed doors require a passcode along with the electronical key every day after 17 o'clock. The passcode is provided along with the key by service advisors.

Before the event

  • Carefully check the premises upon arrival
  • Fill and submit the checklist accordingly
  • Report deficiencies and damages by email to [email protected]
  • Be mindful of the fixed showtech equipment when attaching decorations to e.g. the ceiling to avoid damaging the equipment, risking injury or posing a fire hazard. The equipment is heavy and gets warm, so attaching decorations or covering them is forbidden.

During the event

  • Operate lawfully and according to KY's Code of Conduct and good manners
  • Respect the maximum capacity of 160 persons at a time
  • Observe the operating time (premises empty and cleaned up by 01:00)
  • Keep the noise level reasonable throughout the reservation
  • Use and handle the equipment, fittings, fixed structures and furniture carefully, ensuring their good condition at the end of their reservation
  • Ensure adequate facilities for recycling by providing separate containers for at least cans and bottles, metals, biodegradables, cardboard, paper, plastics and burnable waste
  • Keep the storage space under the stage and showtech storage room in order (see photos in the Storages section)
  • Ensure that the maintenance areas and fire safety passages remain clear at all times
  • If something is damaged during your reservation, notify the KY Office without unreasonable delay at [email protected]. In case of a more serious damage to the property (e.g. a broken window or water damage), contact the maintenance company Lassila & Tikanoja at +358 10 636 7000 immediately and notify the KY Office of the situation at [email protected]. Unreported damages result in a 100€ sanction in addition to the cost of fixing the damages.
  • In case someone throws up at the premises during the reservation, clean it up yourselves with sprayable cleaner, towels and deodorizer from the cleaning cupboard at the backstage area. Additionally, notify the KY Office at [email protected] for disinfection. Unreported incidents result in a 50-300€ sanction for the cleaning and disinfection.
  • In case of a risk of injury to people or more serious emergencies, such as fires, call 112.

After the event

  • Clean up trash and tidy up the premises' general appearance
  • Dispose of trash, cans and bottles appropriately, recycling everything possible according to the instructions below
  • Wash dirty dishes, dry them and return them to their storage
  • Lay chairs and tables neatly back to their storage under the stage
  • Take broken chairs and tables to the shed in front of Saha's backdoor
  • Move the furniture in the terrace away from the walls to avoid water damage
  • Take all your own equipment, decorations and other stuff with you (including all lost-and-founds that belong at Espilä in the lobby behind TuoMela)
  • Tidy up the showtech equipment storage according to the instructions in the Storages section
  • Turn off all lights, including the party lights
  • Ensure that all doors are locked when you leave
  • Return keys to the return box at the front door of Espilä
  • Report any missing or broken tech equipment to the IT Coordinator
  • Report any missing or broken other equipment to the Administrative Coordinator

It is forbidden to...

  • ...sell alcoholic beverages
  • ...smoke indoors or outside the designated smoking area
  • ...jam the doors open with e.g. chairs, bricks or pieces of wood (results in the fire alarm going off)
  • ...use silk paper, duct tape, packing tape, zip ties or confetti in decorations
  • ...light fires or candles indoors or outdoors close to the walls
  • ...use the hazer/smoke machine indoors without permission from the KY Office
  • ...make changes to the connections of the sound, light, or other electronic systems

3. Audio & lights

Audio and microphones

  • Saha has a stationary PA-system connected to a mixer at the speaker's booth
  • You do not need to touch anything beyond the mixer, e.g. speakers or cables leading to speakers, everything should be ready and powered up
  • The mixer's power switch is in the back of the mixer (third image below)
    • Next to the mixer's power switch is a similar switch for the phantom power, but that does not have to be switched on for the mixer to work
  • Using microphones:
    • KY's mics should already be connected, but if not or you're using other mics, connect microphone receivers to the mixer with an XLR cable using the connectors at the top row of the mixer (see first image below)
    • Make sure that microphone receivers (fourth image below) are powered up
    • Move their respective volume sliders up (like in first image below) and refer to the Letting sound through to the speakers -section below
  • Playing sound from the PC:
    • Make sure the PC has its sound output defined to Behringer USB Mixer or something like that
    • Move 2-TR/USB RTN volume slider up (like in second image below) and refer to the Letting sound through to the speakers -section below
  • Letting sound through to the speakers:
    • Make sure the volume slider has been moved up for the device you want to hear (e.g. the microphone or PC volume sliders)
    • Move the MAIN MIX volume sliders up (like in second image below)
  • After your reservation:
    • Move all volume sliders down to zero
    • Turn off the mixer from the switch in the back of the mixer (third image below)

Regular lights

  • Saha has a centrally controlled lighting system with touch-screen control panels on the walls (see images below)
  • The control panels have four lighting presets plus an off-setting
  • The control panel in the main hall also switches the setting for the backstage area, but the control panel in the backstage area controls the backstage separately
  • Turn off all the lights at the end of your reservation

Party lights

  • Saha has a stationary DMX-controlled party light system
  • The controller for these lights is the DMXIS-system on the PC at the speaker's booth
  • In the controller, there is the preset manager view that has all of the premade lighting scenarios
  • Turn off all the party lights at the end of your reservation by selecting the preset

Projectors

  • Saha has two stationary projectors in the main area, one facing the stage and another facing wall next to the door leading to the cloakroom
  • The power switches for the projectors are in the tablet controller, under the AV tab
    • Below the power switches, there are the switches for the source input:
      • PC = mirrors the stationary PC screen at the speaker's booth
      • HDMI = the HDMI cable hanging at the speaker's booth
  • The projector screen behind the stage is controlled with a remote labeled "valkokangas" or something like that
  • Turn off the projectors using the tablet at the end of your reservation

4. Storages

Table, chair & ladder storage

  • The storage is located in the drawers under the stage

Showtech storage room

  • The storage room for showtech equipment is located next to the stage on stage level
  • The storage room has shelves on two walls:
    • The shelf on the left (first image below) is reserved for accessories, such as signal cables, data cables, batteries, space heaters and extension cords separately or in boxes labeled accordingly
    • The shelf on the right (second image below) is reserved for KY's reservable equipment, such as speakers, LED lightbars and microphones

5. Waste disposal

  • The waste disposal and recycling bins for Saha are located approximately 100 meters from the backdoor of Saha towards the Undergraduate Centre, inside the courtyard of Nanotalo at Puumiehenkuja 2 (see aerial photo below)
